Purchase, Cancellation, Transfer and Refund Policy

Effective Date: August 5, 2026 This policy applies to eligible Harlem Career Lab classes, industry panels, passes, tutoring sessions, private career services, and other participant services. Sponsorships, advertising arrangements, affiliate partnerships, space rentals, and customized organizational programs are governed by their applicable written agreements and are not covered by this consumer purchase policy. General Purchase Terms Harlem Career Lab passes offered through Square are one-time purchases. They do not automatically renew. Purchasing a class or panel pass does not automatically reserve a seat for a particular date. After purchasing a pass, contact Harlem Career Lab at harlemcareerlab@harlemcareerlab.com or 646-984-3071 with: The purchaser’s name The email address used during checkout The class or panel date requested The names of the people who will attend A reservation is confirmed only after Harlem Career Lab provides confirmation. All reservations remain subject to program eligibility, capacity, scheduling, and availability. Pass Validity Five-Class Pass Includes admission to five eligible Harlem Career Lab classes Valid for 90 calendar days from the purchase date Does not automatically renew Does not include tutoring, private career services, industry panels, or specially priced programs unless expressly stated 30-Day Class Pass Provides access to eligible Harlem Career Lab classes during a 30-day period The 30-day period begins on the purchase date This is a one-time purchase and does not automatically renew Does not include tutoring, private career services, industry panels, or specially priced programs unless expressly stated Three-Panel Pass Includes admission to three eligible Harlem Career Lab Industry Panels Valid for 90 calendar days from the purchase date Does not automatically renew Does not include classes, tutoring, private career services, or separately priced special events unless expressly stated Annual Panel Pass Provides access to eligible Harlem Career Lab Industry Panels for 12 months from the purchase date This is a one-time purchase and does not automatically renew Does not include classes, tutoring, private career services, or separately priced special events unless expressly stated Expired passes and unused admissions do not roll over. An extension may be provided when Harlem Career Lab cancels programming or when exceptional circumstances are approved in writing. Single-Class and Single-Panel Cancellations To cancel an individual class or panel reservation, contact Harlem Career Lab at least 24 hours before the scheduled start time. When timely notice is provided, the purchaser may choose: A refund to the original payment method; or One transfer to another eligible class or panel occurring within 90 days Cancellations received less than 24 hours before the scheduled start time and failures to attend are not eligible for a refund, transfer, or account credit. Pass Refunds A completely unused pass may be refunded when: The request is submitted within seven calendar days of purchase; and No admission included with the pass has been attended, used, transferred, or forfeited because of a late cancellation or failure to attend After any admission has been used or forfeited, the pass becomes nonrefundable. Partial and prorated refunds are not provided unless Harlem Career Lab discontinues the applicable programming and the purchaser cannot reasonably use the remaining pass benefits. Reservation Transfers A reservation for a single class or panel may be moved once to another eligible date when Harlem Career Lab receives notice at least 24 hours before the original start time. The replacement date must: Occur within the pass’s original validity period Have available capacity Be eligible for the applicable ticket or pass Moving a reservation does not restart or extend the pass-validity period. Transfers to Another Person A single class or panel reservation may be transferred to another eligible person when Harlem Career Lab receives the new participant’s name and contact information at least 24 hours before the scheduled start time. A completely unused pass may be transferred in full to one other person with written approval from Harlem Career Lab. The transfer must occur before the first admission is used. After the first admission is used, the pass: Cannot be transferred to another person Cannot be divided or shared among multiple people Remains assigned to the original participant A transfer does not change the original purchase date or expiration date. Tutoring and Private Career Services Tutoring and private career services are customized according to the participant’s needs. The applicable price, duration, scope, and scheduling details will be provided before the service is confirmed. A parent or legal guardian must authorize tutoring or other services provided to a participant under 18. For confirmed tutoring and private-service appointments: Cancellations or rescheduling requests received at least 24 hours before the appointment are eligible for a full refund or one rescheduled appointment Cancellations received less than 24 hours before the appointment are nonrefundable Failure to attend without notice results in forfeiture of the session and payment Arriving late does not extend the scheduled ending time A written service agreement or confirmation may establish different terms for a customized engagement. When it does, the terms in that written agreement or confirmation will control. Cancellations or Changes by Harlem Career Lab If Harlem Career Lab cancels a class, panel, tutoring session, or private appointment, the affected customer may choose: A full refund for the canceled reservation A credit for another eligible program A rescheduled session when available When a program included in a pass is canceled, the unused admission will remain available. Harlem Career Lab may extend the pass expiration date when necessary to provide a reasonable opportunity to use it. If Harlem Career Lab discontinues a program and the remaining benefits of a pass cannot reasonably be used, the purchaser may receive a prorated refund for the unused portion. Speakers, instructors, topics, schedules, and program content may occasionally change. A speaker, instructor, or agenda change does not automatically qualify for a refund when the program still occurs at the advertised date and time. If the date, time, location, or delivery format changes materially, registered participants may request a refund or credit. Weather, Emergencies, and Exceptional Circumstances Programs may be postponed, relocated, or moved online because of severe weather, emergencies, safety concerns, building conditions, transportation interruptions, or circumstances outside Harlem Career Lab’s reasonable control. Affected participants will be notified using the contact information provided during registration. Requests involving a documented emergency may be reviewed individually. Granting an exception in one situation does not require Harlem Career Lab to grant the same exception in another situation. Refund Processing Approved refunds will be returned to the original payment method whenever possible. Harlem Career Lab will generally initiate an approved refund within five business days. The time required for the refund to appear depends on Square, the customer’s financial institution, and the original payment method. Include: The purchaser’s full name The email or phone number used during purchase The item purchased The scheduled class, panel, or appointment Whether you are requesting a cancellation, date transfer, participant transfer, credit, or refund The time the email or telephone request is received will determine whether the request meets the applicable notice period. Policy Changes Harlem Career Lab may update this policy for future purchases. A purchase will generally remain subject to the policy published when that purchase was completed unless a change is required by law or provides greater protection to the purchaser. Nothing in this policy limits any rights that cannot legally be waived under applicable law.
